Cost Savings in Automating HR Management and Benefits

The role of the HR department has become increasingly complex in the past few years. Even in small to mid-sized businesses, the range of areas that the HR department is expected to cover has expanded significantly.   With that increase in complexity and range has come a new problem – the need to contain costs. The areas that the HR department is now responsible for have become significant cost centers within the organization. As a result, it is important that the CFO becomes much more involved in what’s going on within HR, as it starts to have more of an impact on the company’s bottom line. This document focuses on the three main areas within the HR department where the need for cost containment can be easily identified and significant savings can be made.   Eradicating benefit errors Managing attendance Automating compliance   Eradicating benefit errors The cost of providing benefits to employees has increased dramatically. To prevent these costs from spiraling out of control and start significantly affecting a company’s bottom line, it has become imperative that organizations put in place effective HR and benefits management systems. This will have the added payback of providing a more timely response to employees and will reduce the vast amount of errors that are currently an issue for benefits managers.   Managing benefits has traditionally been the role of the HR department. It’s a complex and time-consuming task, even in a relatively small company, and can soon require a disproportionate amount of the HR department’s available resources unless the right tools are made available to them.

Very clear! It’s a certainty that your company will not be successful without a well performing Supply Chain organization. Reducing your costs on ongoing basis is mainly a matter of expertise, a sense of communication and excellent project management. Also, streamlining your material flows, optimizing your inventory and reducing your lead times are some examples that are part of the game. Take some time to address some of the following questions: • Do you have sufficient capabilities in-house to make “the difference”? • Are you looking for some kind of permanent guidance or just a one-off support? • Are you perfectly happy with your current staff and do you trust them to reach higher levels once trained? • Is a full review and potential re-engineering of your team the preferred option? • Who will take the lead to assess the training content and provider? • What would be your expectations and how much are you willing to pay? • Will everybody be trained or only the “happy few”? • What mechanism will you set in motion to make sure that everybody learns the story? • Will you be engaging your own supply chain team only or also other departments? As the “people’s voice”, Human Resources should be the key interface within your company on this topic! Hereby enough reasons why HR managers should opt for supply chain trainings: • It will emphasize the importance of supply chain management within your company.

Improving The Hr Management Process

Human Resources departments are challenged by the constant obstacle of government compliance. Government compliance regulations are always changing, therefore HR departments struggle to consistently adhere to evolving compliance standards. Because of this, these departments frequently execute new processes and strategies to allow for successful government audits. The most efficient and effective way to always follow regulations is to implement a business process management system to make their jobs easier. What does a business process management system actually do? Also called a BPM system, it is a management practice that concentrates on business effectiveness and efficiency. The best BPM systems will allow for automated workflows that electronically push documents from the appropriate person to the next person during the document review process. The system will track the life cycle from document creation to disposition. So how does such a system help an HR department? An Hr department is daily challenged with many business tasks and constant paperwork including: claim forms, employment forms, tracking and reporting health and life insurance plans, recruitment planning options, payroll, tax withholdings and performance reviews. And one of the most tedious tasks, managing their company’s new-hire recruiting process. The solution: Implement an electronic business management system that will eliminate the frustration of manual paper processes. The best kind of system is one that has workflow automation. With electronically automated workflows, processes are improved and business productivity is increased, helping eliminate the struggle of managing paperwork altogether. Paper processing and the document review process are streamlined.

Human Resource Management Outsourcing

Human resource management outsourcing is the one thing that can make the difference between efficient and inefficient employment of resources for businesses, especially small and medium-sized concerns. Resources not utilized fully could lead a business towards higher operating costs and loss. Setting apart a substantially large chunk of the company’s resources and income for an HR department prevents the resources from benefiting the company’s productivity and capacity for greater income generation. A PEO or professional employer organization can take over the HR responsibilities of businesses, thereby enabling them to focus on their core tasks. The PEO enters into a co-employment relationship with the client company enabling the former to assume employer responsibilities. HR management services include:•    Online HR software solutions•    Employee self service•    Screening and assessing of employees•    Employee performance reviews•    Benefit administration for employees•    Health and safety programs for employees•    Maintaining files of personnel•    Developing and managing HR forms•    Employee handbooks, workplace policies and procedures•    Unemployment claims management services•    Employee orientations•    Termination assistance •    Conflict resolution Outsourcing these HR services enables the client company to utilize all its resources for its core responsibilities, the profit generating tasks. While employers assign tasks to their employees, the PEO takes care of staff management. All paperwork, claims processing, regulation compliance, and motivation programs are carried out by the PEO without interference with the functioning of the client company. The PEO also takes care of recruiting employees and is able to help the client company offer an attractive benefits package that would increase its influence in the job market. Human resource management outsourcing is therefore a winning proposition, something that could set the client company on the right track towards satisfying customer expectations and increasing earnings.

Strategic Human Resource Management

Calling in the ProfessionalsWhen the National Care Standards Commission (NCSC) was set up in 2002 it called in a number of human resource specialists to help. The NCSC is part of the Government’s modernisation agenda to promote and protect the well-being of users of regulated services such as residential nursing homes, private hospitals and boarding schools. It also covers services that weren’t previously regulated, including laser clinics and private and voluntary hospitals. In the past these institutions were regulated by different local and health authorities. The NCSC essentially brought together some 1800 staff from 230 employers into one umbrella organisation. One of these Human Resources specialists was 37-year old Charlotte Grover, a human resources professional with a background in blue chip companies including Unilever, Toyota and Xerox. In 2001 Grover set up her own HR consultancy, wishing for more job flexibility and to be able to make use of the experience gained from working in a range of HR roles during her 15 years in the profession. The NCSC was her first assignment. Working to establish the NCSC certainly provided a substantial challenge, but Grover has never been fazed by a blank sheet of paper. She was initially going to be employed for a six-week interim assignment, but this soon turned into a year-long exercise, with Grover reporting directly to the East Midlands regional director Tony Frayer and with a professional reporting line through to Clare Curran, the HR Director based in the head office in Newcastle.

In practical terms, what needs to be done by the HR function for the new organization and long-established, small and large, is the same; that HR must address the needs of your business or help the organization achieve its goals. Or, if I can return the question, when you became the owner or corporate leader, what do you expect from a variety of functions in your company, maybe HR, IT, Finance, Operations, Production, Sales and others? Of course I wish that every part that is able to provide added value to your organizations.  If not, surely you would have questioned why these functions should exist in your organization. Thus, you need to ask, what the basic needs of the organization’s staffing side?  I have opinion, for the HR function, the basic needs that need to be fulfilled to ensure that companies meet regulatory compliance with various laws which apply to your country.
The articles on the law product and other regulations regulate relations between employees and companies, and consequently the law must be obeyed by both parties.  The first focus is compliance / rules against these rules, and once achieved, you can begin to consider how the basic administrative processes such as personnel administration, payroll and so forth can be performed accurately and efficiently. The rest, you can begin planning the construction of other HR programs more strategic, such as the development of Performance Management, Competency, Career Development, until the establishment of a Work Culture that is expected in the mother organization.
